Privacy Policy

Last Updated: November 5, 2025

Look, we get it. Nobody actually enjoys reading privacy policies, but this stuff's important. At Celest Thorn Fitness, we're not just about pushing you to your limits in the gym - we're also committed to protecting your personal info like we'd protect our own training secrets.

This policy breaks down what data we collect when you train with us, sign up for classes, or just browse our site. We're based in Vancouver, BC, Canada, so we follow all the Canadian privacy laws (PIPEDA and all that jazz). We've tried to keep this straightforward 'cause legal jargon isn't our style.

By using our facility, website, or services, you're agreeing to what's outlined here. If something doesn't sit right with you, hit us up at info@celestthornverse.info and let's talk it through.

Personal Details

When you join our crew, we need the basics: name, email, phone number, address, birthday (gotta make sure you're old enough for those intense sessions), and emergency contact info. Safety first, always.

Health & Fitness Data

Here's where it gets specific. We collect medical history, injuries (past and current), fitness goals, dietary restrictions if you're doing nutrition coaching, and performance metrics during training. This isn't us being nosy - it's about keeping you safe and making sure we're programming workouts that'll actually work for YOUR body.

Payment Info

Credit card details, billing address, transaction history. We use secure payment processors, so your card info doesn't just sit in a spreadsheet somewhere.

Usage Data

Class attendance, which programs you're enrolled in, facility check-ins, and how you interact with our website (pages visited, time spent, that kinda thing). Helps us figure out what's working and what needs tweaking.

Alright, so what do we actually DO with all this info? Here's the rundown:

  • Program Design: Creating personalized training plans that match your goals and physical condition. Can't build a solid program without knowing where you're starting from.
  • Class Management: Scheduling, sending reminders, managing waitlists, tracking attendance. Nobody wants to show up to a full class.
  • Safety: Keeping records of medical conditions and injuries so trainers know what modifications you might need. This is huge for high-intensity stuff like MMA and Olympic lifting.
  • Communication: Updates about schedule changes, new classes, facility closures, or general gym news. We're not gonna spam you with nonsense.
  • Billing: Processing payments, managing memberships, sending invoices. Pretty straightforward.
  • Improvement: Analyzing trends to make our programs better and figure out what classes people actually want.
  • Legal Stuff: Meeting our legal obligations, resolving disputes if they come up, enforcing our terms.

We're not in the business of selling your data. Period. But there are some situations where we share info:

Service Providers

Payment processors, email services, scheduling software - the tools we need to run the gym. These companies only get what they need to do their job, and they're contractually bound to keep it confidential.

Legal Requirements

If we're legally required to share info (court orders, subpoenas, etc.), we've gotta comply. Also, if there's a genuine safety emergency, we might need to share your emergency contact info or medical details.

Business Transfers

If Celest Thorn Fitness ever gets sold or merges with another business, your info would be part of that transfer. We'd make sure any new owners respect this privacy policy though.

With Your Consent

If you give us permission to share your info for something specific (like featuring you in promotional content), we'll only use it for what you agreed to.

We take security seriously - think of it like spotting someone on a heavy lift. We've got multiple layers of protection in place:

  • Encrypted data storage and transmission (SSL/TLS protocols)
  • Secure payment processing through PCI-compliant providers
  • Limited access - only staff who need your info to do their jobs can see it
  • Regular security audits and updates
  • Secure physical storage for paper records (locked cabinets, restricted access areas)
  • Staff training on privacy and data protection

That said, no system's 100% bulletproof. We do everything we can to protect your data, but if there's ever a breach, we'll notify you ASAP and let you know what happened and what we're doing about it.

Yeah, we use cookies. Not the protein kind - the digital ones that help our website work better.

Essential Cookies

These make the site function. Login sessions, shopping cart stuff, basic functionality. Can't really turn these off without breaking everything.

Analytics Cookies

Help us understand how people use the site. What pages get visited, where people drop off, that kind of data. We use this to improve the user experience.

Preference Cookies

Remember your settings and preferences so you don't have to set them every time you visit.

You can adjust your browser settings to block cookies, but some features might not work right if you do. Most browsers let you see and delete cookies individually too.

Under Canadian privacy laws, you've got rights when it comes to your personal data:

Access

You can request a copy of the personal info we have on you. We'll provide it within 30 days (might take a bit longer for complex requests).

Correction

If something's wrong or outdated, let us know and we'll fix it. Actually, PLEASE let us know if your emergency contact changes - that's pretty important.

Deletion

You can ask us to delete your data. There are some exceptions (like if we need it for legal reasons or to complete a service you paid for), but generally we'll honor deletion requests.

Opt-Out

Don't wanna get marketing emails? No problem. Every email has an unsubscribe link, or you can email us directly. You'll still get important stuff like billing notices and schedule changes though.

Data Portability

Want to take your data to another gym? We can provide it in a standard format when possible.

To exercise any of these rights, shoot an email to info@celestthornverse.info. We might need to verify your identity before making changes - just to make sure we're not giving someone else access to your info.

We don't keep your data forever - that'd be weird and unnecessary. Here's how long we typically hold onto stuff:

  • Active Members: As long as you're training with us, we keep your info current and accessible.
  • Former Members: After you leave, we keep basic records for about 7 years for accounting and legal purposes. Medical and training data gets deleted sooner unless there's a specific reason to keep it.
  • Financial Records: Tax laws require us to keep billing and payment records for 7 years.
  • Marketing Data: If you've opted out or we haven't heard from you in 2+ years, we'll delete your info from marketing lists.

When we delete data, we actually delete it - not just hide it. Secure deletion, overwriting, physical destruction of documents, the works.

Our programs are designed for adults 16 and up. For anyone under 18, we require parental or guardian consent before collecting any personal information. Parents have the same rights regarding their kid's data as they'd have for their own - access, correction, deletion, the whole deal.

If you're a parent and you've got questions about what info we have on your teen or how we're using it, reach out anytime. We're happy to walk you through it.

We definitely don't knowingly collect data from kids under 16 without parental consent. If we find out that's happened accidentally, we'll delete it immediately.

Things change - new laws get passed, we add new services, technology evolves. When we update this policy, we'll post the new version here with an updated "Last Updated" date at the top.

For major changes that significantly affect how we handle your data, we'll send out an email notification. For minor tweaks and clarifications, we'll just update the page.

We recommend checking back here occasionally, especially if it's been a while. Think of it like maintenance work - regular check-ins keep everything running smooth.

Got questions, concerns, or requests about your privacy or this policy? We're here for it. Seriously, don't hesitate to reach out.
